1. Determine what things you want to keep track of.
2. Record or document the process you currently have
3. Screen record (I use ScreenFlow, but Quicktime is free) a video.
4. Hire a VA to help you do it once you have a process, or if you need help defining the processes, hire a VA to do that. If you want help, email me at chris at dailyrefinement dot com for help. Write exactly what you want VA help with, so I can introduce you to my VA agency.
5. Post a visual guide near your desk, if you do it yourself, or give it to your VA if you want someone to help you.
